Contract Administrator (1 Year)

Position details:

As part of the team, the Contracts Administrator will be dedicated to support the functions of contracts management in the Asia Pacific region. This role will involve drafting, co-ordinating and maintaining the trading agreements which support the buying and selling of physical crude oil, refined products and a range of paper derivative products.

Primary Function/Responsibilities:

  • Generate legal commodity contracts including crude, gasoline, gasoil, fuel oil, LPG, biofuel etc.

  • Provide maintenance support of terms and conditions applicable to Contract’s commercial activity.

  • Co-ordinate negotiations with third parties around any contract discrepancies.

  • Responsible for negotiation, establishment and management on Brokerage Service Agreement, Clearing Broker Agreement, Derivative reconciliation.

  • Act as a liaison between traders, operations, legal and other internal groups regarding contract status, the acceptability of terms and the commercial and legal implications of contract issues.

  • Evaluate and enhance processes, rules and protocols for administration and execution of contracts and agreements.

Effective communicator who shares knowledge proactively and has the ability to effectively interact in a team environment.

  • Demonstrate initiative and the ability to evaluate situations and recommend solutions.

  • Promote the development of best practice processes in line with company goals and reporting requirements.

  • Support the development of in-house systems to introduce efficiencies and automation into the contract generation process.

  • Ensure document storage, security and retention is in compliance with company policy.

  • Possess awareness of governance issues i.e. Authorization Approval limits (ALM), Sarbanes Oxley Act (SOX), internal compliance etc.

Basic/Required Qualification

  • Bachelor's Degree in Maritime studies, Business, Commerce, Laws, Supply Chain Management or any related field

  • Fresh graduates or candidates with related working experience in Oil and Gas industry are welcome to apply.

Preferred Skills

  • Basic understanding of Commodity Markets, Trade Practices, Incoterms, Risks and Insurances, Marine Operations, Supply Chain and Intermodal Transportation

  • Strong interpersonal and networking skills with strong verbal and written communication skills.

  • Results oriented with ability to think and act decisively and independently under situations of extreme pressure and change.

  • Possess teamwork ability, ability to work in the team and provide cover for other team members.

  • Competent in Microsoft Office application (Outlook, Excel, Word, PowerPoint), SharePoint and SAP.

  • Self-starter who possesses a “hands-on” attitude and a proven ability to thrive in a stressful work environment.
