Description

The Administrative Assistant is responsible for providing administrative support to the Finance organization. The selected candidate will participate as an integral team member and will be a key contributor to the organization from a support capacity.

Responsibilities May Include

  • Manage calendar and schedule for department Manager

  • On/off boarding of employees, contractors, new hires, and interns includes securing equipment, setting up desks and onboard orientation

  • Move coordinator and manage floor space for organization

  • Maintain distribution lists

  • Submit work orders and IT service tickets for floor related issues

  • Maintain and order supplies for printers, bridges and supply areas

  • Providing Business Unit Managers requested information to support business needs

  • Seeking opportunities to improve work processes

  • Maintaining broad knowledge of processes, policies and procedures

  • Answering telephones

  • Sorting and distributing mail

  • Managing schedules and updating calendars

  • Coordinating and facilitating meetings

  • Preparing and revising correspondence and documents

  • Managing and filing records and documents electronically and in paper format

  • Coordinating travel arrangements

  • Processing invoices and expenses reports

  • Copying and scanning documents

  • Completing other administrative duties as assigned by the team and supervisor

  • Understanding and appreciation for working with highly sensitive and confidential information

  • Assisting with special projects as needed

Position Requirements

Basic/Required:

  • Legally authorized to work in the job posting country

  • High School Diploma or GED equivalent

  • 10 or more years of administrative support

Preferred:

  • Associates or bachelor’s degree

  • SAP and Microsoft Excel, Word and PowerPoint

  • Ability to work with Senior or Executive Level management
