Description

As part of the Finished Lubricants, Supply Chain Organization, the Export Account Specialist Lubricants is responsible for direct customer interface in the order-to-cash process, including product supply and delivery, order entry, projects, customer issues, product quality, and invoicing. This position must have a strong ability to network with internal customers within P66 Lubricants’ value chain, as well as with external customers. This person will work independently to resolve order and invoice issues and have strong prioritizing skills to balance daily responsibilities with project/process improvement workload. This position requires strong conceptual and analytical capacity, and this person must be able to function beyond redundant job tasks. This position requires cultural sensitivity, and a keen ability to consider the audience and adjust communication style, in order to nurture and strengthen business relationships with internal and external customers.

Responsibilities May Include

  • Navigating various Phillips 66 systems to handle account specialist responsibilities. Systems include SAP- SD, Business Warehouse, Microsoft Access Export Database, extranet ordering tool Lubestream, and internal incident reporting tool CRRS.

  • Entering and/or changing orders in Lubestream and SAP.

  • Corresponding with customers by e-mail and/or telephone, in English and Spanish, to process order changes.

  • Handling crucial conversations with customers regarding order issues and complaints.

  • Networking with internal customers to resolve value chain issues; Phillips 66 Plants, 3rd Party Plants, Product Management, Data Integrity & Systems Integration, Brand Management, Sales, Logistics, Transportation, Credit, Tax, Treasury, and Finance.

  • Coordinating with Account Managers on master data and pricing issues as it pertains to orders.

  • Obtaining transportation quotes and firm bookings from Freight Forwarders to ensure meeting the document cut-off deadlines.

  • Enforcing Phillips 66’s loading policy when resolving transactions and order issues with customers.

  • Coordinating with plants to manage inventory availability issues.

  • Coordinating with freight forwarder and/or plant concerning any container load date or vessel sailing date issues.

  • Addressing product quality issues with Quality Assurance, Product Managers, plants, and the customers.

  • Generating and actively working reports in SAP, Business Warehouse, and Microsoft Access Export Database.

  • Obtaining proper approvals for pricing adjustments, in accordance with Authority Limitations.

  • Processing invoices and performing credit/rebills and invoicing corrections, while obtaining approvals in accordance with policies and procedures.

  • Performing special projects as needed which could include analysis around perfect order, freight costs, and product SKUs.

  • Recommending improvements and implementing to impact business from order-to-cash.

Position Requirements

Basic/Required:

  • Legally authorized to work in the job posting country

  • Bachelor’s degree

  • Ability to conduct business in English and Spanish, verbal and written

  • Freight Forwarder Experience

Preferred:

  • Export experience in the lubricants or petrochemical industries, preferably in Central America, Asia, Europe & Mexico

  • Skilled in problem identification and resolution, and ability to communicate recommendations

  • Previous experience in handling conflicts and issues with customers

  • Good overall understanding of a product value chain (Sales, Pricing, Logistics, Treasury Services)

  • Ability to effectively handle competing priorities in a fast-paced environment through strong planning and organizational skills to meet deadlines for time sensitive materials

  • Ability to take charge and involve the right people across the value chain to work issues on a day to day basis

  • Ability to learn quickly, create new opportunities, and challenge current processes

  • Exhibit a positive attitude, with the ability to work independently and as a team member in an open office environment

  • Proficient in SAP SD module and Microsoft Office Suite
