The Administrative Assistant & Payroll Associate will provide administrative support for the Manager, HR Operations and the Human Resources organization. This position works closely with HR leadership and Payroll preforming administrative duties, working independently and proactively on numerous complex administrative tasks, exercising utmost discretion, independence and sound judgment on a consistent basis. This role also supports the Payroll Services organization with payroll and absence management responsibilities.
Responsibilities May Include
Coordinating all office and administrative support duties including answering and directing calls to others as appropriate, making arrangements for visitors, invoice processing and coding, record management, safety policies/procedures and other corporate administrative needs.
Maintaining and auditing the approved list of employees and contractors with access to the secured HR floor.
Processing and directing mail to the correct parties within Human Resources for compliance and appeals.
Maintaining various Outlook distribution lists.
Planning and coordinating meetings including invitations, conference room scheduling, refreshments, agenda preparation, meeting set-up and AV coordination.
Maintaining printers and office supplies, including stocking paper, ordering toner and printer supplies, troubleshooting printer issues.
Submitting service tickets for various floor related issues and support office moves.
Defining methodology, monitoring and assuring compliance with document retention policy and procedures.
Working collaboratively and coordinating with other administrative assistants and executive administrative assistants for planning and implementing events and meetings during the year.
Handling sensitive and confidential matters appropriately.
Support efficient administration and best practices for absence management.
Facilitating conversation between payroll, absence management, HR Services and local HR to ensure compliance with all laws and company policies.
Preparing special reports as requested; gathering, analyzing and summarizing data.

High School Diploma
3 or more years in positions requiring administrative or processing work or coordinating multiple parties and tasks to achieve an outcome
Intermediate level of proficiency in software such as Microsoft Office Word, Excel, PowerPoint and Outlook
3 or more years of experience in an administrative support position
Ability to handle multiple priorities concurrently
Anticipates barriers and provides alternative solutions
Strong interpersonal skills; ability to work with all levels in the organization
Discretion in working with highly confidential matters and material
Proficiency in Microsoft Teams and SharePoint, SAP, and Cisco Webex
Builds and maintains effective and trusting working relationships
Advanced written and oral communication skills
Demonstrates a professional manner and ability to influence in dealings with others
Internal and external networking at all levels in the organization
Ability to work under pressure within tight timelines with limited direction
